A useful distinction
A folder of unexplained drafts can leave a new organiser unsure which plan was approved. A concise index helps identify current records, older versions and unresolved actions. Private supporter information needs its own access controls.
Put it into practice
Create an index with document purpose, date, status and responsible role. Keep approvals and source records connected, and transfer access through the organisation’s normal process. Do not publish private archives merely to make a handover convenient; preserve only the records appropriate to the purpose.
